CES IT Policy
INFORMATION TECHNOLOGY AND EQUIPMENT USE AGREEMENT
As a user of IT equipment, peripherals (any device such as a keyboard, printer, hard drives, thumb drives, etc. that is not part of the essential computer), and networks of CES, I acknowledge my responsibility to follow the IT Security and Equipment Use Policy. I agree to abide by this policy in using the networks and IT equipment provided by CES. I understand that willful violation of the principles and provisions of this policy may result in disciplinary action.
Security
- I acknowledge that the networks and other IT resources are designed to be used for official CES business.
- I will protect computer equipment (such as the laptop, monitor, keyboard, printer, devices, hardware, and software) by taking the measures outlined in the IT Security and Equipment Use Policy.
- I understand that all telecommunications and automated information systems are subject to monitoring to ensure proper functioning, protect against unauthorized use or access, and verify the presence or performance of applicable security features or procedures. Such monitoring may result in the acquisition, recording, and analysis of all data being, transmitted, processed, or stored in these systems by the user. If monitoring reveals possible evidence of criminal activity, such evidence may be forwarded to law enforcement personnel. I understand that systems staff (e.g., I.T. Manager) and administrative personnel may be involved in such monitoring.
Internet
- I understand that I must ensure that all equipment is returned to CES in good condition at the end of my period of employment, and I will not take any actions which will jeopardize the security of the system after my departure.
- I will not install any software of any kind on any CES computers and will refer all needs for software procurement and installation to the IT Manager. I understand that I am prohibited from downloading or installing executable software from any source onto the networks without prior authorization from management and/or systems staff. I recognize that I must ensure that any files or software I am authorized to receive have been subjected to approved virus protection measures. Finally, I understand the term "software" refers to executables such as games, screen savers, business applications, shareware, freeware, and demonstration copies of programs.
- Excluding speaker/headphones (which are permitted by management), I will not install any personal hardware (including USB Drives) on any CES-owned computer.
- I understand that installation and support of allowable CES-owned software on home PCs and laptops is strictly prohibited without explicit consent from management or system(s) staff.
Electronic Mail
- Personal use of internet e-mail for personal use should be kept to a minimum. E-mail usage will be brief, limited, and must not disrupt productivity. Users will exercise discretion when using personal e-mail and acknowledge that said use is monitored and traceable to CES and to the individual user.
- I understand that it is my responsibility to monitor and reduce the number of messages saved in the CES or other e-mail programs.
- I understand that employees are not to read other employees’ e-mail without prior permission and that unauthorized access to information that is not related to an employee's assigned duties may result in disciplinary action.
- I understand that electronic mail is not always confidential. My supervisor or manager may view my e-mail for management purposes, and systems personnel may, on rare occasions, inadvertently see user messages as a consequence of doing normal maintenance and troubleshooting. Finally, I understand that authorized personnel on any node between the origin and destination of a message may have to inspect message contents in order to dispatch stalled deliveries or resolve other failures.
